Microsoft Office is the most widely used set of office programs in the world, and questions on MS Word, MS Excel and MS PowerPoint are a regular feature of the computer awareness section in banking, SSC, railways, insurance, defence and state-level examinations. The questions are about features, file extensions, shortcut keys, formulas and terms. This note explains the basics of each program, the keyboard shortcuts, the common Excel functions with examples, and PowerPoint concepts, with tables for easy revision, in simple language.

The Office Suite at a Glance

ProgramUseDefault file extension
MS WordWord processing: letters, reports, resumes.docx (older: .doc)
MS ExcelSpreadsheets: calculations, tables, charts.xlsx (older: .xls)
MS PowerPointPresentations: slides.pptx (older: .ppt)
MS AccessDatabase management.accdb (older: .mdb)
MS OutlookEmail and calendar.pst for data files
MS OneNoteDigital notebook.one

All Office programs have a similar look. The Title bar shows the file name, the Ribbon holds tabs (File, Home, Insert, Design or Page Layout, References, Review, View) with groups of commands, the Quick Access Toolbar has shortcuts for Save, Undo and Redo, the Status bar at the bottom shows page number and word count, and the Scroll bars help you move through the document. The Backstage view opened by the File tab has options such as New, Open, Save, Save As, Print and Share.

MS Word Basics

MS Word is used to create and edit documents. Common features are text formatting (font, size, bold, italic, underline, colour), paragraph formatting (alignment, spacing, indentation, bullets and numbering), page setup (margins, orientation, size, columns), inserting tables, pictures, shapes and page numbers, header and footer, and review features such as spelling and grammar check, comments and Track Changes. Mail Merge is used to create many personalised letters from a single template and a data list. A template is a pre-designed document format. A style is a set of formatting that you can apply to text, like Heading 1. The default page orientation is portrait, and the other option is landscape. A new line starts when you press Enter, and a new page starts with Ctrl + Enter (page break). The default margin in Word is usually 1 inch on all sides. You can see the document in views: Print Layout, Read Mode, Web Layout, Outline and Draft.

MS Excel Basics

Excel is a spreadsheet program. A file is called a workbook, and it contains one or more worksheets (the default first sheet is Sheet1). A worksheet is made of rows (numbers) and columns (letters), and the box where a row and a column meet is a cell, with an address like A1 or C5. The latest versions of Excel have 1,048,576 rows and 16,384 columns (the last column is XFD). A group of selected cells is a range, such as A1:B10. The formula bar shows the content of the active cell. Every formula starts with an equal sign (=). Press F2 to edit a cell. Data can be sorted (ascending or descending) and filtered to show only certain rows. You can insert charts such as column, bar, line, pie and scatter, to show data visually.

Important Excel Functions

FunctionUseExample
SUMAdds numbers=SUM(A1:A5)
AVERAGEFinds the mean=AVERAGE(B1:B10)
MAX and MINLargest and smallest value=MAX(C1:C8)
COUNTCounts cells with numbers=COUNT(A1:A20)
COUNTACounts non-empty cells=COUNTA(A1:A20)
IFGives a result based on a condition=IF(A1>=40,"Pass","Fail")
ROUNDRounds a number=ROUND(3.456,1) gives 3.5
VLOOKUPSearches a value in the first column of a table and returns a value in the same row=VLOOKUP(E2,A2:C10,3,FALSE)
HLOOKUPSearches across a rowSimilar to VLOOKUP but horizontal
CONCATENATE or &Joins text=A1&" "&B1
TODAY and NOWCurrent date, and date with time=TODAY()

Example: if cells A1 to A5 contain 10, 20, 30, 40 and 50, then =SUM(A1:A5) gives 150, =AVERAGE(A1:A5) gives 30, =MAX(A1:A5) gives 50 and =COUNT(A1:A5) gives 5. A relative reference (A1) changes when a formula is copied to another cell; an absolute reference ($A$1) does not change; a mixed reference ($A1 or A$1) fixes only the column or the row. The order of operations in Excel follows brackets, exponents, multiplication and division, then addition and subtraction. Common errors are #DIV/0! (division by zero), #VALUE! (wrong type of value), #REF! (invalid cell reference), #NAME? (unrecognised function name) and #N/A (value not available).

MS PowerPoint Basics

PowerPoint is used to make presentations from slides. A slide is a single page of the presentation. A layout arranges the title, text and pictures on the slide. A theme or design gives the colours and fonts. The slide master controls the common design of all slides. Transitions are effects that happen when you move from one slide to the next, while animations are effects applied to objects within a slide. Views include Normal view (for editing), Slide Sorter (for viewing and arranging slides as thumbnails), Notes Page, Reading view and Slide Show. Press F5 to start the slide show from the beginning, and Shift + F5 to start from the current slide. Press Esc to end the show. The speaker's notes can be added below each slide. Presentations can be saved as .pptx, as .ppsx (a show that opens directly as a slideshow), or as a PDF.

Operating System Shortcuts to Remember

Some shortcuts of the operating system are often asked along with Office: Ctrl + Alt + Delete opens the security screen with the Task Manager option; Alt + F4 closes the active window; Windows key opens the Start menu; Windows + E opens File Explorer; Windows + L locks the computer; Print Screen takes a screenshot; Shift + Delete deletes a file permanently without sending it to the Recycle Bin; and F2 renames a selected file. Ctrl + Shift + Esc opens the Task Manager directly.

Tips to Prepare

The best way to learn Office is by using it. Open Word and type a letter with bullets and a table; open Excel and make a mark sheet with SUM, AVERAGE and IF; open PowerPoint and make a five-slide presentation with a transition. This practice makes the shortcuts and features stick. Prepare a one-page sheet for shortcuts and another one for Excel functions. Note the difference between similar items such as Save and Save As, Cut and Copy, Delete and Backspace (Backspace removes the character on the left; Delete removes the character on the right).

Common Mistakes

Students mix up the extensions of old and new versions, forget that formulas start with =, confuse COUNT and COUNTA, use VLOOKUP with a column number that is outside the table, or mix up transitions and animations. Take care of the difference between a workbook and a worksheet, and between a cell and a range.

Practice Questions on MS Office

Test your knowledge. Which key combination is used to undo an action? Ctrl + Z. Which tab contains the Mail Merge option in Word? The Mailings tab. What is the intersection of a row and a column called in Excel? A cell. Which function is used to find the highest value in a range? MAX. What is the shortcut to italicise the selected text? Ctrl + I. Which view in PowerPoint shows all the slides as small pictures? Slide Sorter view. Which function would you use to show "Pass" if marks are 40 or more? The IF function. Which program is used to manage databases in the Office suite? MS Access. What would =SUM(10,20,30)/3 return? 20. Writing the answers and checking them after a day is a good way to prepare. Try to create two new questions of your own for each section and discuss them with a friend.

Why Learn Office Skills Beyond Examinations

Many government and private jobs require basic spreadsheet and document skills. Knowing how to make a tidy report in Word, a simple budget in Excel and a clear presentation in PowerPoint saves time and creates a good impression. Excel skills, in particular, help in data interpretation questions in the aptitude paper, because you start to see data in rows and columns and think about formulas. If you do not have access to MS Office, free alternatives like LibreOffice or Google Docs, Sheets and Slides work in a similar way, and you can practise the same concepts. Regular use is the best revision.

Quick Revision

  • .docx, .xlsx, .pptx are the default extensions of Word, Excel and PowerPoint.
  • Excel: formulas start with =; SUM, AVERAGE, MAX, MIN, COUNT, IF, VLOOKUP; absolute reference uses $.
  • Ctrl + C, X, V, Z, Y, A, S, P, F, H, B, I, U; F5 starts a slide show; F12 is Save As.

With regular practice on a real computer and a quick weekly revision of these tables, MS Office questions will become a fast and sure source of marks.
